About Generare
We are reopening one of humanity's most powerful sources of innovation: the chemistry that microbes have been evolving for billions of years. Roughly 97% of it has never been read. Our discovery engine reads that chemistry at industrial scale and turns it into novel bioactive molecules to build the medicines and crop protection of the future.
Founded in 2023 as an INSERM spin-out by Guillaume Vandenesch and Dr Vincent Libis, Generare raised a €20M Series A in April 2026, led by Alven and Daphni. We are 32 people in the heart of Paris, and we will be close to 40 by the end of the year.
Role overview
We are growing quickly and are ready to elevate our operational standards to match our scientific ambitions. We are looking for an exceptional Office Manager to centralize our administrative operations and enable our team to focus entirely on their core mission. In this role, you will become the backbone of our daily operations, expertly managing finance, payroll, supplier relations, and travel. You will partner closely with our Chief of Staff, Lab Manager, leadership, and external partners to ensure our processes are seamless.
We are seeking a proactive canditate who will not just execute tasks, but actively optimize our workflows, identify opportunities for improvement, and implement robust solutions that support our rapid expansion.
Key responsibilities
Finance & accounting operations
Own the day-to-day administration of Pennylane, our finance and invoice management tool.
Track the full lifecycle of supplier and client invoices: collection, validation, payment follow-up, chasing.
Prepare and verify monthly payroll inputs in liaison with our accountant and our HRIS.
Handle expense reports, supplier payment visibility and basic budget tracking.
Support our external accountant at closing, and help gather documentation for grants, subsidies and CIR.
People operations
Administrative management of the employee lifecycle: contracts, onboarding and offboarding checklists, absences, mutuelle and prevoyance, occupational health visits.
Keep employee documentation complete, current and audit-ready.
Act as the reliable, discreet point of contact for employees on administrative questions.
Office, procurement & administration
Manage incoming and outgoing mail, correspondence, filing and administrative follow-ups.
Handle official forms and third-party administrative requests: supplier onboarding, KYC, certificates, attestations.
Issue purchase orders and follow up on lab consumables alongside the Lab Manager.
Keep administrative and legal records organised, compliant and easily auditable.
Coordinate office upkeep and manage facilities suppliers.
Executive & team support
Book travel, coordinate agendas and schedule meetings for the leadership team.
Organise logistics for internal events, team moments and external meetings.
Profile
What we are looking for
Experience: You bring over 3 years of successful experience in Office Management or Administration within a fast paced startup environment.
Financial excellence: You are highly proficient with invoices and payroll processes and you enjoy collaborating closely with accounting professionals.
Organizational mastery: You possess a methodical approach and an unwavering attention to detail that ensures every deadline is met with precision.
Prioritization skills: You have a natural ability to manage multiple vital projects simultaneously while maintaining complete focus on quality.
Digital native: You are an expert user of Google Workspace and Notion and Slack or similar tools
Innovation mindset: You embrace modern tools like AI assistants to automate repetitive tasks and maximize your daily impact.
Communication: You communicate with confidence and clarity in both French and English.
Bonus points
You possess deep expertise with Pennylane or equivalent financial management platforms.
You have a strong foundation in managing complex payroll systems.
You bring a valuable background from the pharmaceutical or biotechnology industries.
You have experience leading human resources administration and procurement within growing teams.
